Settings ready for the next event

Start with a club registration request. After an administrator approves it, the requester becomes the club owner and can manage settings. You do not need to add members manually before approval. The club registration guide covers the request form; the ruleset guide and event guide explain those settings separately.

Before you connect a chat

Open Admin → Clubs, choose your club, and confirm its profile. In Communication platform, select Telegram or Discord as the club’s primary platform. Riichi Dojo can keep bindings on both services, but routine club updates and weekly attendance polls use the selected primary platform. A binding on the other service remains saved but does not receive normal club delivery until you switch the primary platform.

The five purposes keep messages separate: Main carries club news and attendance polls; Rating carries player-facing game results and ratings; Game Logs records game activity; User Logs records membership changes; Club Logs records club and event administration. Use channels visible to players for Main and Rating, and restrict the log destinations to staff.

Yes. New user, game and club log messages link the affected player, club, event or game, and the person who made the change. Tap a name or a linked entity ID to open its app page. Existing messages stay unchanged. Deleted resources keep plain IDs; opening a link still requires the usual permissions.

Telegram

Sign in to the Riichi Dojo account that owns the club, then open Profile → Sign-in methods and link Telegram. Entering a Telegram username as profile contact information does not link the account. The bot checks the authenticated Telegram identity and the club owner role.

Add the bot and bind each destination

Add @riichi_dojo_bot to your Telegram group. For a forum-style group, create topics first. In each destination (or topic), send /set_topic, choose the club, then choose the update purpose. Repeat in the other topics or chats you want to connect. The bot’s /help command lists the available commands.

Use Main for announcements and weekly attendance polls, Rating for public results, and separate restricted topics for Game Logs, User Logs, and Club Logs. A non-forum group can still receive messages; all purposes bound to that same group appear in its general chat.

Review and test the connection

Return to Admin → Clubs → your club → Chat. The connected destinations appear by purpose. Check the displayed chat and topic identifiers. Use Send test to check delivery or Remove to disconnect it. To move a topic, run /set_topic again from the new destination and select the same purpose; the latest binding replaces the previous one.

Use the web Poll settings to choose event days, extra answers, and a weekly send day and time. Save the settings with the page’s Save bar. Preview to me sends a private test poll to your linked identity on the club’s selected primary platform; Send now posts the poll to Main. Invite links and member requests are managed from the club’s web settings, not through the bot.

Telegram and Discord settings for a club

Discord

Link Discord to the same Riichi Dojo account from Profile → Sign-in methods. You can also sign in through the Riichi Dojo Discord Activity, then link any additional sign-in method in your profile. A Discord username written in profile contact details is not an authenticated linked identity.

Add the bot with the requested permissions

In Admin → Clubs → your club → Chat, choose Add Discord bot and authorize it for the server. The invite requests View Channel, Send Messages, Send Messages in Threads, Embed Links, Pin Messages, and Send Polls. Discord server administrator rights alone do not grant access to manage a Riichi Dojo club.

Bind channels with /set_channel

In the intended server channel, run /set_channel. Pick the club and purpose from the command options. The account must be active, linked to the Discord user running the command, and an owner of that club (or a system administrator). The club list is filtered to clubs that account can manage.

Bind Main to a channel for club news and attendance polls, Rating to a player-facing results channel, and Game Logs, User Logs, and Club Logs to staff-only channels as appropriate. You can bind the same club on both Telegram and Discord, but normal delivery follows the club’s Communication platform selection. The web test action can target the configured Discord binding; weekly polls and ordinary updates use the selected primary platform.

Back in the Chat settings, use Open to visit a connected channel, Send test to verify it, or Remove to disconnect it. Run /set_channel again in a new channel to move the destination. /app opens the Riichi Dojo Activity and /help lists bot commands.

Set up a weekly attendance poll

Open Admin → Clubs → your club → Poll. Set the poll title, event days, extra options, the weekday and time to send, and turn on the schedule. The preview shows the choices the poll will contain. Preview to me sends a private test to your linked identity on the club’s selected primary platform; Send now sends to the club’s Main destination. Scheduled polls also go to Main and follow the club’s primary platform. Discord uses a native poll and tries to pin it; pinning can fail when the bot lacks permission to pin messages.

Troubleshooting

  • The bot says the account is not linked: sign in to the same Riichi Dojo account and link the Telegram or Discord identity under Profile → Sign-in methods. Check that the account is active.
  • Your club does not appear in /set_channel: the linked account needs owner access to that club, or system-admin access. Being a Discord server owner is not enough.
  • The Discord command or bot invite is missing: confirm the Discord integration is enabled for the server and that the bot was added with the requested application-command scope. Ask a system administrator if the invite action is unavailable.
  • A test message or poll fails: give the bot View Channel and Send Messages; allow Send Messages in Threads for a thread; allow Embed Links for rich updates; allow Send Polls for polls; and allow Pin Messages if polls should be pinned.
  • Updates appear on Telegram when you expected Discord (or the reverse): change Communication platform in the club profile. Saved bindings do not mirror normal delivery across both services.
  • A legacy Telegram topic is missing: run /set_topic from that topic again, then review the Chat section in club settings.

Messages delivered through the old Telegram bot now also open the new @riichi_dojo_bot app. Legacy URLs in notification text, photo captions and buttons are upgraded while keeping their destination.
